Tenancy Information New Zealand Ltd (T.I.N.Z.)

In order to meet our obligations under the Privacy Act 1993

• Only individuals that are New Zealand citizens, or are permanently residents in New Zealand, or are physically in New Zealand may register.
• If you have multiple staff, each member of your staff that is going to use T.I.N.Z. must have their own separate account. This means each property manager will have their own username (login name) and password. This is because if a complaint is made by a person recorded on our system, the Privacy Commissioner can check with our member that they have the prerequisite tenant's authority to do checks and lodge them on our system. It is your responsibility to maintain security of your username and passwords otherwise your company will be liable, instead of the user that has breached the Privacy Act. Please contact us if you need more usernames - there is NO EXTRA MEMBERSHIP COSTS. This is also very useful to monitor who in your office is doing the checks, and should a staff member leave we can easily cancel their user account without disruption to the balance of your office users. 
• We strongly urge you to use our tenancy agreement. The reason for this is that tenants must be made aware they may be added to a database. Our agreement states this. Most tenants have no problem with this as it is in their interest if they are reasonable tenants. We offer a comprehensive agreement that can be downloaded and printed for free, or can be ordered in duplicate for 90c each + gst. which pays for postage costs (posted to you within 24 hours). If you do not use our tenancy agreement then you must add a statement to your preferred agreement, which makes it clear that the tenant may be added to a database at the end of the tenancy. This statement is available from our "Downloadable Forms" section. 
• We insist that you obtain a prospective tenant's written permission before doing a search on them (generally via your Tenancy Application form) and you should advise the individual of the purposes for which you are collecting the individual’s personal information and the purposes for which the information will be used and disclosed to Tenancy Information New Zealand Ltd (TINZ) via the website at www.tinz.net.nz. You will be asked for the reason of each search and lodgement.
• A suggested form can be found under our "Downloadable Forms" section. 
  You are also required, as soon as reasonably practicable, to update any credit default information, rating, 10 day notice, or serious credit infringement information previously disclosed to TINZ and to ensure that the information remains accurate, up to date, complete, relevant, and not misleading.
• We insist that all information added to the database must be correct and fair.
• You must promptly co-operate with our efforts  to investigate and resolve complaints and requests for correction of credit default information, ratings, or 10 day notices, and must supply, upon our request, evidence to confirm compliance with the requirements of Rule 11 of the CRPC or evidence to substantiate any lodgement on TINZ.

A word to tenants - You have the right to see the information held about you by any credit bureau or tenant database, and to correct it in accordance with the Privacy Act. If you wish to view the information we hold about you, there is a form which you need to print off and then follow the instructions on it. Below is the form you need in 2 different formats. Your computer should be able to open at least one of them.
